For landlords and building managers
Run your rentals without reading over anyone's shoulder
Invites and signed leases, inspections, repairs, messages, rent, statements and reports for your owners and accountant, in one place. Your tenants get an app for their home, and what they share with each other stays theirs.
What you can't see
This isn't a setting. Landlord accounts have no way in, and tenants are told exactly what you can see.
Stays private to your tenants
- Their calendars and plans
- Their expenses and who owes whom
- Messages between housemates, and the rest of the home's bulletin
- The Safe, where a home keeps shared passwords and codes
- The notes, costs and comments on a repair, any photo the home has not shared, or who reported it
- Their to-dos, shopping lists, guests and anything else they share with each other
- Their phone numbers and other contact details
What you do see
- Each tenant's name, when they joined, and whether they're on the lease
- The home's name, address and lease dates
- The title, status, urgency and date of open repairs
- Messages your tenants send you, and bookings of your amenities
- Whether a charge you posted has been marked paid
What you get
Get tenants in
From an empty unit to a signed lease and a documented move-in.
Units, buildings and QR-code invites
Add one unit, or a whole building at once from a range like 101-130. Each unit has its own invite code and QR code. Print a poster, attach it to a lease as a PDF, or send an invite by email.
E-signatures
Send a lease, a renewal or the house rules to sign. Tenants read it, agree to sign electronically and type their name. You keep a record of who signed and when, with the document's fingerprint, so everyone signed the same file.
Move-in and move-out inspections
Rate each room, add photos in batches with captions, and let tenants agree or say what they don't. Photos open full screen, and a move-out sits beside the move-in so changes are easy to see. Keys and fobs are recorded too.
Security deposits, if you take one
Optional, because many places limit them. Record what you hold and where, itemize deductions with the inspection photos as evidence, and print a statement when it's returned. The tenant sees the same list.
Lease renewals
See every lease ending in the next 90 days. People on the lease are asked whether they plan to stay, and you see their answers beside each unit.
Day to day
Repairs, messages and the building, without the group texts.
Repairs and work orders
Every open repair across your units, most urgent first. Assign it to your team or a vendor, keep notes only your team can read, and send a vendor a private link to the job: no account, and they can report back with photos.
A shared inbox, messages and notices
Tenants' messages arrive in one place your team can answer, signed Management or with your name. Message one person, a unit, a building or everyone, and post notices to a home's bulletin without reading the rest of it.
Urgent alerts
Water off at 2 PM? One short alert reaches a building or everyone straight away, even tenants who chose a daily summary.
Recurring maintenance
Filter changes, fire checks and inspections turn into work on schedule, with one vendor list for the team.
Amenities and the front desk
Residents book the gym or the roof within the limits you set, with your approval and a deposit if you like. Buildings with a concierge can log packages and visitors.
Money and paperwork
Rent and the records your accountant and owners ask for. roomkind never touches the money.
Rent and fees, with your own payment link
Rent that repeats each month, or a one-off fee, linked to wherever you already take payment. Tenants mark a charge paid and you confirm it. roomkind doesn't handle the money: we never collect, hold or move it.
Late fees, only if you want them
Off unless you add the rule. You set the amount or a percent, the grace period and which charges it applies to, and the tenant is told. Waive one by removing it.
Tenant statements
A running balance per unit for any period: every charge and payment, and what's still unpaid. Print it, save it as a PDF or download it, and tenants see the same statement for their own tenancy.
Reports emailed on a schedule
Send an owner, an accountant or a contractor their own report weekly, monthly or quarterly: a summary, balances, open repairs, expenses, leases ending, or files for QuickBooks and Xero. You choose what's in it and what the email says.
Owner reports, expenses and analytics
Log building expenses with receipts, send owners a monthly PDF, and see occupancy, collections, repairs and amenity use over time, with charts.
Your team and tools
Room for the people who help you, and the software you already use.
A team, with roles
Invite the people who help run a building and give each a role: Manager, Maintenance, Front desk or View only. Maintenance and front desk see the work, not tenants' names, leases or money.
Automation
Simple rules that run on their own: send plumbing repairs to your plumber, remind homes about overdue charges, tell the team about old repairs, and charge late fees if you choose.
Import and export
Bring in units, tenants, charges with their history, and vendors from spreadsheets, with a preview before anything is created. Take units and charges out as CSV, or as files QuickBooks Online and Xero can import.
Integrations and a calendar link
Send repairs, messages and payments to Slack, Microsoft Teams, Discord or any webhook, and add maintenance, visits and lease ends to Google, Outlook or Apple Calendar.
On your phone and your computer
Install roomkind as an app from Chrome, Edge or Safari, with its own window, notifications and the unread count on its icon.
$10 a month per unit for your first 3, then $3
Your tenants pay nothing, and it's free for everyone during early access.
Questions
- Do my tenants pay anything?
- No. A unit on a landlord plan is covered, and tenants get the full app at no cost to them.
- What does it cost?
- $10 a month per unit for your first 3 units, then $3 a month for each unit after that. roomkind is free during early access. We'll tell you before paid plans begin, and you won't be charged unless you agree.
- Does roomkind collect rent?
- No. You add a link to the payment service you already use, and tenants pay there. roomkind only shows the charge and whether it's been marked paid. It never touches the money, so it can't tell you a payment really arrived: you confirm that yourself.
- Do I have to charge late fees or take deposits?
- No. Both are off unless you set them up. Late fees are a rule you add with your own amount and grace period, and deposits are only recorded if you took one. Check what's allowed where your property is.
- Are e-signatures binding?
- Tenants agree to sign electronically before they type their name, and roomkind keeps a record of who signed, when, and a fingerprint of the exact document. That's how US e-signature laws generally work, but leases have local rules, so check with your lawyer.
- Does it work with my accounting software?
- Charges download as invoices QuickBooks Online and Xero can import, or as a spreadsheet for anything else, and you can email them to your accountant on a schedule.
- What if I live in the building too?
- You can join a home you live in, like a roommate. If others already live there you have to confirm that, and everyone is told. Inside that one home, you see what's shared like any other member, and they all see you as the landlord.
- Can a tenant remove me?
- Yes. A home's owner can remove a landlord's access at any time.
- What happens when tenants move out?
- You can reset a unit, which removes the people in it and deletes what they added, so the next tenants start fresh. You confirm first that this complies with the laws that apply to your property. Move-in and move-out records, deposits and signed documents stay with you. Tenants keep their roomkind accounts for their next home.
